Information and purposes
Invitations contain the name, email address, language and role supplied by an administrator, together with their status. Our legitimate interest in organising a personal, invitation-only membership is the basis for this processing (GDPR Article 6(1)(f)). You can object by contacting us.
Registration and sign-in use your verified email, name, authentication identifier, membership number, role and status. Reservations record the event, booking status, additional guest count and check-in time. This is necessary to provide the membership and reservation service you request (Article 6(1)(b)). The member service cannot be provided without its essential information.
Your profile phone number, company and biography are optional and processed with your consent (Article 6(1)(a)). You can withdraw consent by clearing those fields. Withdrawal does not affect the lawfulness of earlier processing.
We keep security records of membership changes, invitations, reservations and check-ins. Service providers may process technical connection and device information to operate the service and prevent abuse. This relies on our legitimate interest in maintaining a secure service (Article 6(1)(f)).
Google sign-in and service providers
If you choose Google sign-in, we request your basic profile and email address to identify your account and authenticate you. Email sign-in is also available without a Google account.
Clerk provides authentication and sign-in emails. Vercel hosts the website and Railway hosts the membership database. The database is in a European region. Some provider operations may involve processing outside the European Economic Area. Contact us for information about the applicable transfer safeguards and a copy of those safeguards.
Administrators can access membership information. Authorised event staff can access information required for admission. There is no public member directory. We do not sell personal information or use Google information for advertising.
Retention and deletion
Essential membership information is retained during your membership. After closure or a deletion request, we delete or anonymise it, except information needed for a specific legal obligation or documented legal claim. Such information is retained only while that obligation or claim remains relevant.
Reservation, invitation and security records are retained only while necessary to complete the related event, invitation, security investigation or claim. Invitation links expire after seven days; expiry does not itself delete the record. Suspension restricts access and does not delete your information.
Request deletion using the contact email above. We normally respond within one month. Copies in backups may remain until the backup cycle replaces them and may only be used for recovery.
Cookies and your rights
We use cookies necessary for sign-in and remembering your language. We do not operate our own marketing or advertising tracking. This notice will be updated when optional services are introduced.
You can request access, correction, deletion or restriction, and data portability where applicable. You may object to processing based on legitimate interests and withdraw consent at any time. Membership decisions are made by administrators; we do not make solely automated decisions or profiling with significant effects.
You may complain to the Hungarian National Authority for Data Protection and Freedom of Information (naih.hu) or seek a judicial remedy. Contact us to exercise your rights. We may verify your identity when necessary to handle a request.
